Privacy Policy

Last updated October 29, 2026

This Privacy Policy explains what Promotion Prep ("the app") collects, why, and how you control it. The app is operated by Speaktacular, LLC ("we", "us"), Oklahoma, United States. You can reach us any time at support@promotionprep.com. The app is an independent study aid and is not affiliated with or endorsed by the United States Air Force, the Department of Defense, or any government agency.

1. What we collect

Account information. When you create an account, we collect your name and email address. In a browser you can sign in with an email and password, or with Google. If you sign in with Google, it shares your basic profile (typically your name and email) with the app so we can create or match your account. Inside the iOS and Android apps, the only sign-in offered is an email and password: the third-party sign-in buttons are not shown there, so no Google profile is shared in those builds. We never see or store your password for a third-party service, and a password you set here is handled by the hosting platform's sign-in system rather than stored by the app.

Access and purchase records. We store whether your account has full access, and the record of a purchase that granted it: the payment provider's transaction reference, the amount, the currency, the date, and which channel took the payment. Card details are never part of this record and never reach us: the payment provider handles them. These records are what let us restore access to the account that bought it, and what let us revoke access on a refund or a disputed charge.

Study activity. We store the study data you create in the app, tied to your account, so your progress follows you across sessions and devices: quiz and exam answers and scores, situational judgment practice answers, your study plan and the test date you enter, streaks, notes and highlights. If you use "Report an Issue" in Situational Judgment practice, we store the feedback you send and the scenario it refers to. One exception: a paused real mock exam (saved answers, position and remaining time) is stored on your device only, not on our servers, and is kept there for up to 7 days.

Preferences. Settings you choose in the app, such as your light or dark theme and your listen-voice, are saved so they carry over between visits.

Optional push notifications. Notifications are optional and stay off until you turn them on. If you use Enable notifications in the app and your device grants the permission it asks for, the app registers that device's push token and a random install identifier against the signed-in account, and stores the device platform, the environment, and when the registration was made, when it expires and when a notification was last sent to it. We keep those records only to send the study reminders you asked for, and to stop a reminder going to the same device more than once in the same minute. Apple's Push Notification service and Google's Firebase Cloud Messaging carry the device token, the reminder's text and the app destination the reminder opens; not your answers, notes, progress or account details. An iOS device may have its reminder go through both, because the iOS build sends through Firebase Cloud Messaging, which hands it to Apple. Neither service is used to advertise to you or to track you. You can turn notifications off at any time, with Disable notifications in the app or in your device settings: disabling in the app takes the device out of our active database, and a removal that cannot complete at that moment is retried the next time you sign in. Deleting your account also removes the push devices registered to it, subject to the retention described in section 5.

Technical and security records. The platform that hosts the app (Base44) automatically collects standard technical and usage information, such as device and browser type, pages visited, and approximate region, and keeps the records needed to operate and secure the service, including sign-in and request records used to detect abuse. It also stores a persistent browser or session identifier on your device. That identifier links usage events that come from the same browser, and it may be linked to your signed-in account. We use this to operate, secure, and improve the app.

What we do not collect. We do not collect your precise location, contacts, photos, or microphone. We do not collect device identifiers for advertising. We do not run ads, and we do not track you across other apps or websites.

2. How we use your information

We use the information above to sign you in, keep your study progress in sync, keep full access working on the account that bought it, operate and secure the app, respond to support requests, and improve study content. We do not use your information to advertise, and we do not build a profile of you for marketing.

AI model training on the platform. The app runs in a Base44 workspace on the Elite plan, not the Enterprise plan. Base44's privacy and security documentation sets out the rule for AI training: workspaces on the Enterprise plan are excluded, and data in workspaces on other plans, Business included, may be used to train AI models, with no opt-out setting. That includes this app's workspace and the information you submit here, so the information you submit through this app may be used to train AI models, and there is no opt-out we can offer you from that use. We do not control how Base44's platform uses data for that purpose. You can read the rule as published at docs.base44.com/Community-and-support/Privacy-and-security, and Base44's general privacy policy at base44.com/privacy-policy.

3. The "Explain this" feature

If you have full access, you can tap "Explain this" on a practice question. When you do, the text of that question and our written explanation are sent to an AI service through Base44 so it can generate the answer. The feature is limited to 10 uses per day per account. If you never tap it, no question text is sent.

4. Who we share your information with

This is the full list of the outside services involved in running the app. Which of them apply to you depends on how you use it. Some act as our service providers, working only on our instructions; others, such as the provider that takes a payment, handle your information under their own terms and privacy policies:

  • Base44, the platform that hosts the app, its sign-in system, its database, and the "Explain this" AI feature. Your account and study data is stored on Base44's infrastructure.
  • Google, for Google sign-in, only if you sign in with Google in a browser rather than with an email and password. Google confirms your identity when you sign in, and we receive only your basic profile. The iOS and Android apps offer no third-party sign-in, so no Google sign-in profile is shared there. Google has two other roles in the app, and each applies only on its own terms, in its own entry below: Firebase Cloud Messaging for notifications, and Google Play billing for a purchase made there.
  • Apple Push Notification service (APNs), only if you enable notifications on an iOS device and grant the permission it asks for. Apple delivers the reminder to your device. What reaches Apple is the device token, the reminder's text, the app destination the reminder opens and the time we send it; your answers, notes, progress and account details are not sent. This is a separate role from Apple as a store, in its own entry below.
  • Firebase Cloud Messaging (FCM), from Google, only if you enable notifications. On Android it is how the reminder reaches your device; on iOS the app's build sends through it and FCM hands the reminder to Apple, so an iOS reminder may pass through both services. As with APNs, what it carries is the device token, the reminder's text and the app destination the reminder opens, not your study data or account details. This is separate from Google sign-in and from Google Play billing, in their own entries.
  • Stripe, our payment provider, for purchases made on our website. Stripe handles the card details and the transaction record; we never see or store your full card number. Stripe may also receive technical data from your device in the course of processing a payment.
  • Apple or Google, as a store. When a purchase is made through the Apple App Store or Google Play, that store processes billing and supplies the transaction and purchase-status records, and card details are handled by that provider. A store purchase is recorded against the account that made it, so the record identifies the account the purchase, and any access it carries, belongs to.
  • The mobile app wrapper (AppNative), in the iOS and Android builds. It tells the app that it is running inside the wrapper, and it reports whether the wrapper itself already holds a purchase entitlement, which the app may ask our server to check against its own records. It is not involved when you use the app in a browser, and it grants no access on its own: access is decided by our server. What the wrapper reports is evidence the app uses to ask us to re-check, never the thing that decides access, and no answer from it opens any content by itself. The native wrapper also contacts AppNative over an encrypted connection with this app's wrapper identifier to check whether its wrapper subscription is active. That request is separate from your study account and purchase verification.
  • The AI service behind "Explain this", which receives a question's text and our written explanation only if you tap that button, and reaches it through the Base44 platform.

We choose providers that protect your information, and each provider handles it under its own terms and privacy policy, which we do not control; the provider that takes a payment is an example. One exception to a service-only use: Base44, the platform that hosts the app, may also use data in this workspace, including personal information submitted through the app's forms, to train its AI models, as described in section 2. We do not sell your personal information, and we do not share it with advertisers or data brokers. We may disclose information if the law requires it, for example in response to a valid court order.

5. How long we keep it, and how to delete it

We keep your account and study data for as long as your account is active. You can delete your account at any time from the "Delete my account" section of the app's Account page, from the public page at promotionprep.com/account-deletion, or by emailing support@promotionprep.com from the address on your account and we will do it for you. When an account is deleted, we delete the account and its study data: your notes, quiz and exam history, saved mock-exam progress, situational judgment answers, and the feedback you sent. Deleting from the app runs that deletion as part of the request, and if you ask us by email we do the same when we action it. The deleted records - your account and its study data alike - are held in the hosting platform's recently-deleted area for about 30 days, restorable only by the app owner and never by you from inside the app, and are then permanently removed automatically. Uninstalling the app alone does not delete your account.

A record of a purchase may be kept longer where the law requires it, for example for tax and accounting records, and the transaction and event records are also kept as a security and revocation safeguard: they are what let us tell a genuine purchase from a forged or repeated one, and what stop a refunded, reversed or revoked purchase from continuing to grant access. Those records are pseudonymous: they hold a transaction reference and an amount, are no longer linked to your name or email address once your account is deleted, and are used for those purposes only.

Some records also carry an internal creator identifier that the hosting platform attaches when a record is written. We ask the platform to remove it as part of deleting your account, and where the platform does not allow the app to change that field, it may remain on records the platform keeps. It is an internal account identifier with no name, email or purchase detail on it, it no longer resolves to a user once the account is gone, and the app does not use it for anything. If you want to know exactly what the platform retains, write to support@promotionprep.com and we will tell you.

6. How we protect it

The app is served over encrypted connections (HTTPS) and hosted on Base44, which maintains its own security controls. Access to stored data is limited to what is needed to run the app. No method of storage or transmission is perfectly secure, but we work to protect your information and will tell you if a breach affects you where the law requires it.

7. Children

The app is a study aid for adults preparing for a military promotion exam. It is not directed at children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has created an account, contact support@promotionprep.com and we will delete it.

8. Where it operates

The app is operated from the United States. Our service providers, including our hosting and payment providers, may process information in the United States and in other countries where they operate. This policy applies wherever that processing happens.

9. Your state privacy rights

Depending on the state you live in, you may have additional rights over your personal information, such as the right to know what we hold, correct it, delete it, or opt out of its sale or sharing. We do not sell or share personal information for advertising, so there is nothing to opt out of there. To exercise any other right, email support@promotionprep.com and tell us which right you are exercising. Your state's law sets out what we must do, and nothing in this policy limits any right you have under it.

10. Changes to this policy

If we change this policy, we will post the new version at the same address and update the date shown at the top of this page. If a change is significant, we will note it in the app. Continuing to use the app after a change means you accept the updated policy.
